The Role
BMT is a full-service provider to domestic and international offshore oil and marine industries. The main business activity for our Houston-based business line is the design, development and installation of instrumentation for platform-based and field-deployed monitoring systems. Supporting business streams are consulting engineering services, marine data analysis, physical testing, offshore and onshore trials.
We are seeking a Project Expeditor/Coordinator who will have a key role in ensuring successful delivery of projects and in managing the interface between Operations and related business functions such as Finance and our management team. Working closely with Managers and project teams, the Project Expediter will support the Operating Unit's (OU) Managers on project coordination activities.
DUTIES INCLUDE:
- Assisting in the raising of project-related purchase orders, and submission to suppliers on approval;
- Tracking and confirming when sub-contracted services have been received;
- Keeping Managers abreast of outstanding invoices for active projects, to enable appropriate engagement with the client and decisions on withholding future deliverables until payment is received;
- Raising credit notes/reissuing invoices as required;
- Attending project start-up meetings (internal and with the client) helping to ensure a Project Plan is created in a timely manner with accurate known and forecast data;
- Review, check and submission of project documentation to clients;
- Supporting the Project Manager in managing and reporting project risks;
- Ensuring that all active project team members’ timesheets are raised and approved weekly;
- Following-up on queries with project expense claims/receipts;
- Ensuring that key project documentation is present and filed appropriately, including the contract, any change requests, sub-contracts/purchase orders, invoices, key meeting notes, etc.;
- Ensuring that, on completion of a project, closure documentation has been completed and reported prior to changing project status;
- Providing high-level project administration support, including preparing project status and review reports and handling information requests from Project Managers and wider BMT stakeholders;
- Preparing agendas and notes for Project Reviews and project team meetings;
- Working with Project Managers as directed, to support successful delivery from a project control perspective;
- Working with ‘approvers’ to ensure that projects approval processes flow seamlessly, preventing delays in delivery;
- Working with Finance staff on receivables/payables, taking follow-up action as necessary to ensure timely cash conversion;
- Managing project changes/variations in the project management system;
REQUIRED EDUCATION / WORK EXPERIENCE:
- High School Diploma required, Bachelor’s Degree in Business or related degree preferred
- 3+ years’ experience in project coordination
- Experience with project scheduling and maintaining project timelines
REQUIRED SKILLS /ABILITIES / KNOWLEDGE:
- Solid proficiency with MS Office applications
- Strong verbal and written communication skills
- Able to solve problems creatively and quickly under pressure
- Ability to multi-task, prioritize tasks and quickly adjust in a rapidly changing environment, often under pressure from multiple stakeholders
- Proficiency with ERP or MIS systems (i.e., Deltek) is desired
- Experience working with Microsoft Project is desired
- Able to coach/train others in Project Controls is desired
