Job Details
The Role
The Design and Engineering Services (DES)Coordinator is responsible for professionally and efficiently supporting the DES team in achieving their targets and delivery through the following activities:
Support the Engineering Management Team
The incumbent will be required to support the Engineering Management team in the on-going management and administration of the Engineering group, including:
- Support recruitment activities
- Maintain the recruitment status board
- Assist in the co-ordination of interviews
- Maintain recruitment tracking documents
- Assist with new starter co-ordination
- Support the DES Communications site and maintain routine content updates
- Co-ordinate DES document management
- Publish documents on the DES Comms site
- Liaise with authors for routine updates
- Work with authors on initial development, including format
- Maintain the DES Organizational chart
- Support Resource Management
- Assist the EMs with the maintenance of the ERP
- Monitor and Track Target Utilization
- Coordinate Internal Training and support external training administration
- Manage deployment / tasking readiness tracking
- Manage DES reference documents
- Coordinate DES technical tools and licensing
Support project management and delivery
The incumbent will be required to support the project management teams in the coordination and delivery of projects, including:
- Coordinate overseas deployment and project travel activities:
- Coordinate travel and accommodation
- Coordinate visa and other documentation / requirements
- Provide project administration and co-ordination support
- Support document control (review and distribution)
- Support the development of BAFs, Proposals and other project documents
- Assist in meeting coordination, minute taking and action tracking
Deliver billable work
The position holder will be expected to deliver billable work as assigned to achieve their target utilization as set by the Business Line Lead.
In addition to these duties, the post holder may be required to carry out such other duties as may reasonably be required, from time to time, to achieve the above role purpose.
Key Knowledge, Experience and Skills
Essential:
- Excellent written and oral communication
- Proficient user of the Microsoft 365 suite of products (Word, Excel, PowerPoint, Task Boards, Teams)
- Proficiency at using Apps within Teams
- Excellent time management skills
- Excellent problem-solving skills
Desirable:
- Experience with SharePoint administration – including creating and customizing views, modifying site structure and navigation, and management of site content
- Project or team / department coordination experience
