Key Responsibilities

 As a member of the Client and Project Services (CaPS) team the Project Support Specialist is responsible for: 
  • Supporting the delivery of client projects by applying specialized skills in the management and execution of their project deliverables including but not limited to: 
    • Information Management 
    • Data Systems
    • Financial Planning
    • Project Management P
  • Providing professional and efficient project support to BMT North America and their clients in the management and delivery of their projects; and 
  • Assisting project / program managers and shared services in the execution of internal and external projects within allocated cost and budget.  

Skills, Knowledge & Expertise

Project Support Specialists will support the BMT team and their clients in achieving their objectives through the following activities: 
  • Managing, organizing, and maintaining structured and unstructured information in shared digital environments (e.g., SharePoint, network drives, document management systems). -         Information governance, including document control, version management, retention requirements, and access permissions.
  • Providing project management services to internal and external clients as may be required such as coordinating meetings/workshops and client engagements (including developing and maintaining awareness of the stakeholder community); 
  • Managing day-to-day activities for the Project Management team including analyzing project data and producing progress reports, documenting and tracking action items, producing associated slide decks, agendas and Records of Discussion for meetings, workshops, and events;
  • Documenting processes, and suggesting updates to reduce or eliminate inefficiencies;
  • Providing project coordination activities include reviewing and aligning all aspects of deliverables produced for various project areas, and ensuring that the appropriate team members are supporting the right activities at the right times; and 
  • Fulfil all administrative requirements for the task ensuring that all necessary quality control systems are maintained; 
  • Supporting external BMT client tasks as assigned by the Project Manager (PM) or client TA. Completing tasks to meet specified objectives within agreed timescales and budgets; 
  • Assisting the PM in monitoring the project schedule, key meetings, etc. and socializing the “battle rhythm”/business cadence; 
  • Maintaining configuration control of project management documents for all assigned project(s)
  • Coaching and mentoring Junior level Project Support Specialists, developing teaching tools and aids; 
  • Identifying opportunities for process improvements, automation, and efficiency gains in business processes, systems, and workflows, and implement solutions to enhance productivity, accuracy, and compliance;  
When not supporting project delivery there may be occasions where the incumbent is required to support activities as tasked by the leadership team such as: 
  • Drafting and organizing BMT reference documents; and 
  • The coordination and organization of BMT internal training related to CaPS.
